The 5-stage content pipeline
Most creators have ideas scattered across notes apps, screenshots, and bookmarks. This template consolidates everything into one pipeline with five clear stages: Idea (raw captures), Draft (written content), Review (team feedback), Scheduled (approved and dated), and Published (live with analytics).
Each stage has specific Notion properties. Ideas only need a title and source. Drafts add the content body, platform, and pillar. Review adds an assignee and feedback status. Scheduled adds the publish date. Published gets engagement stats synced back from Scheduled.
Never run out of ideas
The template includes a dedicated "Idea Bank" view filtered to show only the Idea stage. Capture ideas from conversations, articles, comments, and trending topics. Use the Notion Web Clipper to save LinkedIn posts that inspire you, then remix them into your own content.
A healthy idea bank has 20-30 ideas queued at any time. When it's time to draft, you never start from a blank page. Just pick an idea, move it to Draft, and start writing.
Review and approval workflow
For teams and ghostwriters, the review stage is critical. Use Notion comments for inline feedback, the "Reviewer" property to assign approvers, and the "Approval" checkbox to sign off. When approved, move to Scheduled and set the date. Scheduled publishes automatically.
